Who May Use the Library's Meeting Rooms |
Greene County-based nonprofit groups and clubs may schedule rooms at any Library branch. The scheduled meeting must be open to the public and must not be a personal event such as a bridal shower or birthday party. Groups may not solicit or sell products or services that are not directly connected with the Library and no admission fee may be charged.
Greene County businesses may reserve meeting rooms for internal employee training Monday-Friday from 7:30 a.m.-5 p.m. up to 60 days in advance. These times may vary depending on the hours of operation at each branch. Businesses must not promote products or services.
Groups requesting more that an eight-hour block of time on any one day must seek approval from a branch manager.
An adult, at least 18 years old, must be in attendance at any group function and accept responsibility for the actions of the group.
Library events shall receive priority in the scheduling of meeting rooms and the Library reserves the right to relocate a group to a different meeting room. |
How Meeting Rooms Are Reserved |
On March 1 of each year, nonprofit groups and clubs may begin scheduling dates from July through December of that year. On September 1, groups may schedule dates between January and June of the following year. Groups may schedule a meeting room up to two times each month on weekdays or once per month on Saturdays.
Conference and study rooms with seating for fewer than ten may be reserved no more than 30 days in advance. The number of times these rooms may be scheduled each month will be determined by each branch and will be based on demand.

Snacks, Drinks, Meals & Catering |
Groups are welcome to provide snacks, drinks and meals and arrange for catering in the Library's meeting rooms. (The only exception is the Fair Grove Branch Library.)
Many Library meeting rooms provide access to a kitchen or kitchenette with amenities such as sinks, refrigerators and microwaves. Consumable items such as coffee, cups and sugar are not provided by the Library.
Groups providing food or drinks in the meeting rooms are responsible for clean-up, including:
- Wiping down counters and tabletops after eating.
- Disposing of trash in receptacles.
- Removing debris from floors; vacuum cleaners are available upon request.
A $20 meal event fee is payable in advance for those who wish to serve meals, including potlucks. The meal event fee is waived for meals catered at the Library Center by Café 641.
For catered meals, the group scheduling the rooms is responsible for arranging for delivery and pickup of leftover food and equipment at the end of the meeting. |
Equipment Use |
Special equipment may be reserved for use in meeting rooms. These items must be arranged when the meeting room is scheduled and should be checked out and returned at the Library's circulation desk. See branch listings for available equipment.
Those who wish to use audiovisual equipment, including computers and projectors, may be required to attend a training session with Library staff before use. Equipment should not be disconnected or reconfigured without permission and training from Library staff. Minimal technical support is available on evenings and weekends.
Groups misusing Library equipment will be restricted from future use of the equipment and will be held responsible for any damage to or theft of Library properties. |
Other Information |
- Groups shall not imply Library endorsement or sponsorship of their objectives, views or events in promotion or invitation.
- Any group using a meeting room is expected to conduct its proceedings in a quiet, orderly manner not disruptive of normal Library functions.
- Groups may not tape or otherwise affix anything to the walls of Library meeting rooms.
- Groups are to set up and take down tables as needed. Trash must be placed in receptacles and rooms left clean.
- The Library will not store items for groups using the meeting rooms. The Library is not responsible for damage to or loss of personal items used or left in meeting rooms.
- Tobacco use and alcoholic beverages are prohibited on Library premises.
- The Library reserves the right to refuse future bookings to groups that consistently fail to appear on scheduled meeting dates or do not abide by meeting room policies. Branch managers reserve the right to vary policies to better serve the citizens of Greene County.
